Privacy Policy
NextGen Sales Systems LLC
Version 2.0 · Effective 22 October 2026
1. Who we are and what this policy covers
NextGen Sales Systems LLC is a Wyoming limited liability company ("NextGen", "we", "us" or "our"). We are a business-to-business sales and marketing agency. We provide cold email and lead generation, revenue and sales operations, and growth strategy consulting. We also offer courses, free resources and setups, and the NextGen Sales Systems School, our online community for B2B founders.
This policy explains what personal information we collect, how we use it, who we share it with and the choices you have. It covers information we collect through any channel, including:
- our websites, including nextgensalessystems.com and each brand website listed in Section 14 (together, the "Sites");
- forms, landing pages and lead forms, including lead forms inside advertising platforms such as Meta and LinkedIn;
- email, phone calls, text messages and LinkedIn messages;
- video calls, setup calls and meetings;
- our courses, free resources and online community; and
- events, referrals and other offline contact.
The Sites and these activities are together our "Services".
Brand addenda. Some of our Sites run under their own brand names. Each brand has a short addendum that explains what is specific to it. If a brand addendum and this policy conflict, the addendum controls for that brand only.
When we work for a client. When we run outreach or handle data on behalf of a client, we act as that client's service provider. The client's own privacy notice governs that data, and our use of it is limited by our contract with the client. If you received outreach from us on a client's behalf, see Section 6.3.
Business audience. Our Services are for businesses and the people who work for them. We do not offer Services to people for personal, family or household purposes.
2. Information we collect
2.1 Information you give us
- Contact and business details: name, work email address, phone number, job title, company name, company website, team size (for example, number of sales reps) and similar business details.
- Booking details: the date, time and time zone of calls you book, and the answers you give in booking forms.
- Communications: the content of emails, text messages, LinkedIn messages, chats and support requests you send us, and notes of our calls with you.
- Call and meeting content: recordings, transcripts and AI-generated notes of calls and meetings (see Section 4.4).
- Purchase details: billing name, billing address and the products you buy. Card payments are handled by Stripe. We do not receive or store full card numbers.
- Community and course activity: your profile, posts, comments and course progress in the NextGen Sales Systems School.
- Feedback and testimonials: anything you send us about our Services.
2.2 Information we collect automatically
When you visit a Site or open our emails, we and our technology partners collect:
- device and browser details, IP address and approximate location derived from it;
- pages viewed, links clicked, scrolling and mouse movements, referring page, time on page and the ad or campaign that brought you to us;
- whether you opened an email or clicked a link in it; and
- identifiers set by cookies, pixels, tags and similar technologies (see Section 5).
2.3 Information from other sources
- Advertising platforms: if you fill in a lead form inside Meta, LinkedIn or another platform, that platform passes us the details you entered. Platforms also send us reports on how our ads perform.
- Public and commercial sources: for business outreach, we collect business contact details and professional information from public sources, such as company websites and professional networking profiles, including through AI-assisted research of public web pages. We also collect it from commercial business-data providers, including Apollo, LinkedIn Sales Navigator, AI Ark and Moltsets.
- Scheduling and CRM tools: information created when you use our booking pages or when we log our contact with you.
- Referrals: a colleague, partner or client may give us your business contact details so that we can introduce ourselves.
2.4 Information we do not want
Please do not send us sensitive personal information, such as government ID numbers, financial account numbers, health information, or information about race, religion, sexual orientation or immigration status. Do not send us personal information about your own employees or contractors unless we ask for it for a specific Service. During calls, please share only what is needed (see Section 4.4).
3. How we use information
We use personal information to:
- Provide the Services: deliver resources and sample reports, run setup calls, deliver courses and paid services, operate the community and give support.
- Communicate with you: send confirmations, reminders and replies, and contact you about Services you asked about, by email, phone, text message (only with the consent in Section 4.3) and LinkedIn.
- Market our Services: send business marketing and outreach, invite you to resources and events, and follow up on your interest.
- Advertise: show our ads on other websites and platforms, measure how they perform and find similar business audiences (see Section 5).
- Understand and improve: analyse how the Sites and campaigns perform and improve our Services.
- Run our business: process payments, keep records, manage our client relationships and carry out internal reporting.
- Protect and comply: prevent fraud and misuse, keep our systems secure, enforce our Terms, and meet legal, tax and regulatory duties.
We may also create de-identified or aggregated information that does not identify you, and use it for any lawful purpose. We will not try to re-identify it.
4. How we communicate with you
4.1 Email
We send business email about the Services, including outreach to business contacts we believe may be interested. Every marketing email includes an unsubscribe link and our postal address. If you unsubscribe, we will stop sending you marketing email within 10 business days. We may still send messages about a purchase, a booking or an account you have with us.
4.2 Phone calls
We may call the business phone number you give us, or a business number from the sources in Section 2.3, about the Services. We check calls against the National Do Not Call Registry and our own do-not-call list where the law requires. We do not make calls with an artificial or prerecorded voice, or leave prerecorded voicemail messages, without the consent the law requires. To stop calls, tell us on the call, reply to any message, or email us at the address in Section 15. We keep an internal do-not-call list and honour requests within the time the law requires.
4.3 Text messages
We send text messages only to people who have agreed to receive them, by ticking an opt-in box, by giving a mobile number for reminders when booking a call, or by giving consent in another way the law accepts. Our texting program is described in our Terms of Service, Section 8. In short:
- Messages may include booking confirmations, reminders, follow-ups and information about our Services. Reminders for calls booked through Calendly are sent through Calendly.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to stop messages and HELP for help. You can also opt out by emailing us or by any other reasonable means.
- Agreeing to receive texts is never a condition of buying anything.
NO MOBILE INFORMATION WILL BE SHARED WITH THIRD PARTIES OR AFFILIATES FOR MARKETING OR PROMOTIONAL PURPOSES. TEXT MESSAGING OPT-IN DATA AND CONSENT ARE EXCLUDED FROM EVERY CATEGORY OF SHARING DESCRIBED IN THIS POLICY AND WILL NOT BE SHARED WITH ANY THIRD PARTY, EXCEPT SERVICE PROVIDERS THAT DELIVER OUR TEXT MESSAGES AND SUPPORT THE TEXTING PROGRAM. WE DO NOT SEND PHONE NUMBERS TO ADVERTISING PLATFORMS.
4.4 Calls, recordings and screen sharing
We may record and transcribe calls and video meetings, and create notes of them with Fathom, an AI note-taking tool, to keep accurate records and improve our Services. We will tell you at the start of a call if it is being recorded. If you do not want to be recorded, tell us and we will stop recording or reschedule. We keep recordings and transcripts for the period in Section 8.
If you share your screen, a file or your systems with us during a call, you decide what to show. Please hide or avoid showing personal information that is not needed, such as other people's contact details, pay or performance information. We use what we see only to help you during that call. We do not copy or keep data from your screen or your systems. A recording of the call may capture what you show on screen.
4.5 LinkedIn
We may send connection requests and messages on LinkedIn, including through tools that help us manage outreach. To stop, reply asking us to stop, or remove the connection.
5. Cookies, pixels and advertising
5.1 What we use
We use cookies, pixels, tags, server-side connections and similar technologies to run the Sites, measure traffic and run our paid advertising. They include:
| Tool | Provider | What it does |
|---|---|---|
| Google Analytics | Measures visits and how the Sites are used | |
| Google Tag Manager | Loads our other tags; does not itself build a profile of you | |
| Hotjar | Hotjar | Records how visitors use pages, including clicks, scrolling and mouse movement, to help us improve the Sites. Hotjar is set to hide what you type into form fields. |
| Meta Pixel and Conversions API | Meta Platforms | Measures our ads on Facebook and Instagram, builds audiences for our ads and reports conversions, including from our servers |
| LinkedIn Insight Tag and Conversions API | Measures our ads on LinkedIn, builds audiences for our ads and reports conversions, including from our servers | |
| RevyOps website tracking | RevyOps, LLC (our service provider) | Records visits to the Sites and links them to the companies and contacts in our own records, so we can follow up on interest |
5.2 Paid promotion and targeted advertising
We promote our Services and brand Sites with paid ads, including on Meta (Facebook and Instagram) and LinkedIn. To do this:
- the pixels and Conversions API connections above tell the ad platforms when you visit a Site or submit a form, so we can measure results and show our ads to people who have visited (retargeting);
- we may send the ad platforms business contact details, such as a hashed (scrambled) email address and name, through the Conversions API or audience uploads. The platforms use these to match you to your account, show you our ads or exclude you from them, and find similar business audiences. We do not send phone numbers to advertising platforms; and
- the ad platforms use this information under their own privacy policies, and may combine it with other information they hold.
Some state privacy laws call this "targeted advertising", and some treat it as a "sale" or "sharing" of personal information even though no money changes hands. We do not sell personal information for money.
5.3 Your choices
- Opt out of targeted advertising: email ben@nextgensalessystems.com with the subject "Opt out of targeted advertising". We will stop sending your details to ad platforms and remove you from our audience uploads.
- Global Privacy Control: we treat a Global Privacy Control signal sent by your browser as a request to opt out of targeted advertising on that browser.
- Browser settings: you can block or delete cookies in your browser. Some Site features may not work without them.
- Platform settings: you can manage ad preferences in your Meta and LinkedIn account settings, opt out of Google Analytics with Google's browser add-on, and opt out of Hotjar at hotjar.com.
We do not currently respond to "Do Not Track" browser signals other than Global Privacy Control.
6. How we share information
We share personal information only as described here.
6.1 Service providers
We share information with companies that perform services for us under contracts that limit their use of it to providing those services. They include:
| Category | Providers we use today |
|---|---|
| CRM, calling and messaging | Close |
| Scheduling and booking reminders (including text reminders) | Calendly |
| Email outreach | Instantly |
| LinkedIn outreach | HeyReach |
| Revenue data, analytics and website tracking | RevyOps, LLC (see Section 6.2) |
| Call recording and AI notes | Fathom |
| Analytics and tag management | Google Analytics, Google Tag Manager, Hotjar |
| Advertising measurement | Meta, LinkedIn (see Section 5) |
| Payments | Stripe |
| Email, file storage and office tools | Google Workspace |
| Website hosting | Lovable |
| Community and courses | Skool (NextGen Sales Systems School) |
| Business-data providers | Apollo, LinkedIn Sales Navigator, AI Ark, Moltsets |
We may change providers. This list shows the categories we use, and we will update it when we change them.
6.2 RevyOps, LLC
RevyOps, LLC is a separate Texas company that shares a founder with NextGen. It provides revenue data and analytics software. When RevyOps processes information for us, it does so as our service provider, on our instructions and under contract. We do not share your information with RevyOps for RevyOps' own marketing unless you ask us to introduce you or you sign up with RevyOps yourself. If you use RevyOps' own products, RevyOps' own privacy policy applies to that use, not this one.
6.3 Clients
When we run outreach for a client, we use the contact details the client gives us or that we source for that client, and we report results, such as replies and meetings booked, back to that client. If you want to opt out of a client's outreach, reply to the message or contact us, and we will pass your request to the client and stop that outreach.
6.4 Advertising platforms
As described in Section 5, Meta, LinkedIn and Google receive information through their tags, Conversions API connections and audience uploads.
6.5 Legal reasons and protection
We may disclose information when we believe in good faith that the law, a court order or a government request requires it, or when it is needed to protect the rights, property or safety of NextGen, our clients, users or others, to prevent fraud, or to enforce our agreements.
6.6 Business transfers
If NextGen is involved in a merger, acquisition, financing, reorganisation, sale of assets or bankruptcy, information may be transferred as part of that transaction. The receiving party must handle it in a way consistent with this policy.
6.7 With your consent
We share information in other ways when you ask us to or agree to it.
6.8 Text messaging exception
Section 4.3 overrides everything in this Section 6. Mobile numbers, text-message opt-in data and consent are never shared with third parties for their marketing.
7. Your choices and rights
7.1 Choices everyone has
- Email: use the unsubscribe link in any marketing email.
- Text messages: reply STOP.
- Calls: ask us not to call you again.
- LinkedIn: reply asking us to stop.
- Targeted ads: see Section 5.3.
- Access, correction or deletion: email us (Section 15). We will honour reasonable requests even where the law does not require it, subject to the limits in Section 7.3.
7.2 State privacy rights, including Texas
Depending on where you live, state law may give you rights over your personal information. These include laws in Texas (the Texas Data Privacy and Security Act), California and other states. Some of these laws do not apply to information about people acting in a business or employment role, or to businesses below a certain size. Where a law applies to you, your rights may include:
- confirming whether we process your personal information and getting access to it;
- getting a copy in a portable format;
- correcting inaccurate information;
- deleting information;
- opting out of targeted advertising, the sale of personal information and certain profiling; and
- not being treated differently for using these rights.
How to make a request: email ben@nextgensalessystems.com with the subject "Privacy request". Tell us what you want and which email address or phone number you have used with us. We will need to verify your request by matching the details you give us with those we hold, and we may ask for more information. An authorised agent may make a request for you if they provide proof that you authorised them. We will reply within 45 days, or tell you within that time if we need up to 45 more days.
Appeals: if we decline your request, you may appeal by replying to our decision or emailing us with the subject "Privacy appeal". We will respond in writing within 60 days and explain our reasons. If you are a Texas resident and you disagree with our decision, you may contact the Texas Attorney General at www.texasattorneygeneral.gov.
Sensitive data: we do not knowingly collect sensitive personal data as defined by Texas law, and we do not sell it.
7.3 Limits
We may keep information when we need it to complete a transaction, comply with the law, resolve disputes, keep our do-not-contact lists, or protect our rights. If you ask us to delete your information, we will keep your contact details on a suppression list so that we do not contact you again.
8. How long we keep information
We keep personal information only as long as we need it for the purposes in this policy, then delete or de-identify it. Our usual periods are:
| Information | How long we usually keep it |
|---|---|
| Leads, prospects and form submissions | For as long as we operate the business, unless you ask us to delete it |
| Clients and purchase records | For as long as we operate the business, and at least 7 years after the relationship ends, for tax and legal records |
| Call recordings, transcripts and AI notes | For as long as we operate the business, unless you ask us to delete them |
| Text-message consent records and opt-outs | At least 5 years after the consent ends, to prove consent |
| Do-not-contact and unsubscribe lists | As long as needed to honour the request |
| Analytics, session-recording and ad data | As set by each provider's retention settings |
| Community posts | Until you delete them or close your account, unless we remove them earlier |
We may keep information longer if the law requires it or there is a dispute.
9. Security
We use reasonable administrative, technical and physical safeguards for the information we hold, such as access controls and limiting access to people who need it. No system is completely secure, and we cannot promise that information will never be accessed without permission. If a breach of security affects your personal information, we will notify you and the authorities as the law requires.
10. Where we process information
We are based in the United States, our team works in the United States, and we process information in the United States. Some of our service providers may store or process information in other countries under their own safeguards.
11. Children
Our Services are for businesses and are not directed to anyone under 18. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has given us information, email us and we will delete it.
12. Other websites and services
The Sites may link to other websites, platforms and tools, including those of RevyOps, ad platforms, AI tools and Skool. Their own privacy policies govern how they handle information. We are not responsible for their practices.
13. Changes to this policy
We may update this policy. We will post the new version on this page with a new version number and effective date, and keep earlier versions on request. If we make a material change, we will give notice on the Sites or by email before it takes effect. We will not use personal information in a materially different way from the policy in force when we collected it unless you agree.
